Commercial Project Guide
Commercial Sitework Bid Preparation
A clear bid request helps estimators identify the project, understand which services are being requested, and review the documents provided. Use this guide to organize the information before sending a commercial project to Earthscapes for consideration.
Identify the project and point of contact
Start with the project name and the company requesting the bid. Include a contact name, role, phone number, and email address so questions can be directed to the right person. If the project has an owner, general contractor, or developer already assigned, identify those parties where the bid form requests them.
Add the project street address, city, and county when known. The location helps distinguish projects with similar names and gives the estimating team the context needed to review the request against the company’s stated Central Florida service territory.
- Project name and type
- Requesting company and contact information
- Street address, city, and county
Name the services you want reviewed
Be specific about the work you are asking a contractor to consider. Earthscapes’ bid form lists services such as land clearing, excavation, earthwork and grading, underground utilities, stormwater and drainage, roadway and site construction, commercial landscaping, landscape installation, irrigation, water management, hardscapes, landscape lighting, lawn maintenance, and landscape enhancements.
If the requested scope crosses more than one service, list each one. If you are unsure which service label fits, describe the work in plain language and identify the relevant plan sheets. The request can then be reviewed against the documents rather than relying on a broad label alone.
Include the bid dates and project timing
Provide the bid due date and anticipated start date when they are available. Distinguish firm dates from preliminary targets in your notes. If either date is not set, say so rather than leaving the recipient to infer a schedule.
A date in a request is project information, not a confirmation of availability. Any schedule, scope, or participation must be confirmed with the project team during bid review.
Attach the documents that define the work
Use the plan and document upload field for relevant drawings, specifications, and bid documents. Include the current issue or revision when that information is shown on the files. If you are sending more than one file, use clear filenames so each item can be identified during review.
Briefly explain the requested scope in the project description field. Call out alternates, packages, or specific questions that should be considered. Do not rely on a short project name to communicate scope boundaries.
- Civil, landscape, or irrigation plan sheets relevant to the request
- Specifications or bid documents that define the requested work
- A concise note identifying scope questions or alternates
Review the request before submitting
Check that the contact details are current, the project location is complete, the requested services are selected, and the correct documents are attached. Confirm that the bid due date and start date are not accidentally reversed. If a detail is unknown, label it as unknown.
The Request a Bid form is intended for commercial project information and document uploads. Submitting a request does not itself confirm that Earthscapes will bid or perform the work; project fit and scope are reviewed individually.
